MEAL Reporting Coordinator

General information about the role of the employee:
Under the overall guidance of the MEAL Research Manager, the MEAL Reporting Coordinator is responsible for producing high-quality MEAL reports and mission-level analytics products. The position ensures that all MEAL reporting is accurate, timely, and fully compliant with PIN policies, donor requirements, and established standards. The Coordinator leads the processes of consolidation, analysis and interpretation of monitoring and evaluation data, and prepares clear, structured, evidence-based analytical reports and narratives to support program team decision-making and accountability.
Reporting relationships and interaction with other functions:

Internal interactions:

The MEAL Reporting Coordinator collaborates with other members of the MEAL team, as well as with relevant staff of the program and operations teams, in order to ensure timely and high-quality reporting on MEAL activities and results. The MEAL Reporting Coordinator reports directly to the MEAL Research Manager.
External interactions:
If necessary and upon request, he/she may coordinate with external parties, in particular implementing partner organizations, consortium partners, sub-grantees and other interested parties.
Key Duties and Responsibilities:

Data Quality Assurance:
  • Supports the development of high-quality data collection tools;
  • Provides support to MEAL specialists in conducting training for enumerators before data collection begins;
  • Provides technical support before and during data collection in order to correctly apply tools, follow the methodology and ensure the reliability of the collected data;
  • Participates in data quality assurance processes, including verification, consistency checking, and data validation;
  • Reviews monitoring data sets and provides structured feedback to MEAL specialists on data quality issues, inconsistencies, and potential risks;
  • Supports the MEAL team in addressing identified data quality gaps and strengthening quality assurance processes across all projects.
MEAL Data Processing, Analysis, and Reporting:
  • Provides high-quality analysis of MEAL data collected using quantitative (surveys) and qualitative (in-depth interviews, observations) methods, in particular, provides support to MEAL specialists during analysis;
  • Provides consolidation and triangulation of data from various sources in order to form reliable evidence-based conclusions;
  • Prepares MEAL reports in English based on the analysis of quantitative and/or qualitative MEAL data;
  • Reviews and edits reports prepared by MEAL specialists in collaboration with relevant MEAL staff and the program team to clarify information and fill in gaps to ensure accuracy, consistency and completeness of reports;
  • Collaborates with relevant members of the MEAL and program teams to interpret the results of data analysis, identify trends, outcomes, unintended effects, gaps, risks, and lessons learned related to program implementation;
  • Supports and translates MEAL reports from Ukrainian into English;
  • Ensures compliance of reports with donor requirements, internal PIN quality standards and deadlines, paying special attention to structure, language and analytical logic;
  • Coordinates the follow-up of comments and feedback provided by senior management and other team members, ensuring correct and consistent edits in collaboration with the MEAL and program teams;
  • Performs the final formatting of reports and distributes the final versions to the relevant teams, in particular to the Grant team.
Project monitoring and reporting:
  • Regularly makes visits to project locations to interact with partner organizations, beneficiaries and other stakeholders, as well as to monitor activities;
  • Upon request, provides support in the preparation of data from MEAL to donor reporting;
  • Ensures that MEAL reports and data are properly stored in the ELO system (the organization's internal archival system) in accordance with applicable PIN policies on data protection, as well as on the use of SharePoint for current work documentation.
Organizational Learning and Capacity Development:
  • The MEAL Coordinator contributes to the formation and strengthening of understanding of the importance of MEAL among other PIN employees within the mission;
  • Conducts or provides support in conducting trainings and training sessions on MEAL issues and contributes to the capacity development of MEAL team members, in particular by training enumerators, MEAL specialists and employees of partner community organizations.

Requirements for the candidate:

Education, certificates:
  • Master's degree in sociology, social sciences, statistics, economics, or a related field.
Work experience:
  • 5 years
English:
  • High Proficiency (Advanced)
Professional / technical competencies:
  • Deep understanding of MEAL principles and expertise in monitoring, evaluation, accountability, and training in humanitarian or developmental contexts.
  • Proven ability to conduct quantitative and qualitative data analysis and translate results into clear, informed reports in English.
  • Experience with MEAL data collection and management tools (e.g., Kobo/ODK, Excel, Activity Info, or similar).
  • Solid knowledge of data quality assurance processes, including verification, triangulation, and validation.
  • Knowledge of donor reporting requirements and standards is an advantage.
  • Strong analytical and writing skills, ability to present complex information in a structured and accessible way.

Other requirements:
  • The applicant must provide examples of post-allocation and post-implementation reports (in English) personally prepared by him when applying for the position.
