Description of General Responsibilities:
Internal relations
Works closely with the logistics team, including the IT Coordinator, Logistics Coordinator and Head of Logistics and Procurement. It also provides technical support to all PIN Ukraine personnel on IT-related issues.
Foreign relations
  • He works in the accounting program MS NAVISION (hereinafter referred to as NAVI) and the program for approval and archiving MS ELO (hereinafter referred to as ELO) as a Finance Officer – mission economy
  • Distributes mission costs (salaries of national staff and operational costs of the mission) between existing projects in accordance with the instructions of the line manager and HoFAD – in Excel spreadsheets for the FALCO project (table 1) for data export to NAVI – monthly, adhering to the deadlines set by the line manager;
  • Selects line coding for cost allocation tables;
  • Checks the completeness and correctness of data display in NAVI – selectively after data export, at the request of FC/HoFAD before reporting to the donor, closing of the financial year, etc.;
  • Prepares tables for the distribution of projected mission costs in Excel format for the FALCO project (Table 2) for data in NAVI – for a certain period with a monthly revision of data that correlates with the data of the BvA tables (budget versus cost) in the fields for forecasting (Table 3). Monitors the timely updating of data in BvA tables – every time a BvA table is created/updated by department employees;
  • At the request of department employees, creates new BvA tables for new projects;
  • Participates in the creation of implementation cards, in Excel for export to NAVI, for the new calendar year and/or for new projects;
  • In ELO, in the role of FO - RDD - UKR000, coordinates documents in the status of Check and approve invoice (advance and final invoices, invoices), Check and approve Purchase Order (purchase orders), CDI (information on payment to beneficiaries);
  • Assists the line manager and HoFAD in the process of preparing documents for audits, donor checks, responses to other requests, analysts during the preparation of the semi-annual analysis of the mission economy, etc.
  • Creates presentations and materials for publication in the channels of the Finance Department on the tasks of the line manager and HoFAD
  • Performs any other tasks of the department, according to the orders of the line manager and HoFAD.
External relations:
  • In order to monitor the costs of existing projects and forecast costs for a certain period, it cooperates with regional directors, managers, other budget holders and receives the information necessary for cost forecasting and other information necessary for analytics and distribution of costs between projects.
Characteristic duties and responsibilities
  • Adheres to financial security rules, especially privacy rules;
  • Ensures non-disclosure of confidential information of the organization and personal data of employees or third parties that became known in the course of performing official duties;
  • Provides assistance to employees of the financial and HR departments with minor issues, according to the order of the line manager and HoFAD;
  • Responsible for the correctness and completeness of the information provided;
  • Ensures timely and effective implementation of assigned tasks, discusses in advance the deadlines for completing tasks if it is impossible to complete them in a timely manner;
  • Immediately provides the necessary information to the immediate supervisor;
  • Ensures timely and effective implementation of the department/project action plan and prompt provision of all necessary information to the immediate supervisor.
  • The employee is responsible for the quality of performance of his/her duties in accordance with the job description, employment contract and the current legislation of Ukraine, including the Labor Code of Ukraine (Labor Code).
  • The employee is obliged to immediately inform the management about circumstances that may affect the quality or timing of tasks.
  • The employee is obliged to comply with the requirements of the Policy regarding local personnel and the Internal Labor Regulations, to comply with the Instructions on Safety, Industrial Sanitation and Occupational Health of the Fire Safety, and other mandatory instructions and procedures related to his work.
  • The employer has the right to give the employee other tasks within the scope of his powers and specialization.
  • In case of a large number of different tasks to be performed by the Employee at the same time, the Employee must perform the most urgent and important tasks in the first place. Priority is determined taking into account the timing of completion and the impact of tasks on the activities of the organization. If necessary, the employee can contact the direct supervisor to clarify priorities or receive additional instructions on load distribution.
Access to confidential information
  • An employee has access to confidential or restricted information within the scope of their job duties.
  • The employee's duties include processing, storing and using information belonging to the category of confidential or with limited access, only within the scope of his job duties.
  • An employee can get access to the following types of information - financial data, cash documents, personal data of employees and beneficiaries, partners and third parties that became known in the course of performing official duties, etc.
  • The Employee undertakes to ensure the confidentiality of information with limited access and trade secrets in accordance with the requirements of the company's internal regulatory documents and the Non-Disclosure Policy of Confidential Information.
  • The employee is obliged to refrain from disclosing confidential information to third parties, except for cases when such disclosure is expressly provided for by his official duties or a written consent from the management has been obtained.
  • In case of violation of confidentiality requirements or disclosure of information with limited access, the employee bears disciplinary responsibility in accordance with the legislation of Ukraine, including the possibility of dismissal on the basis of Art. 147–149 and para. 14 of Art. 40 of the Labor Code of Ukraine.
  • The employee is obliged to familiarize himself with and comply with the confidentiality requirements specified in the relevant internal documents of the company, in particular the Non-Disclosure Policy of Confidential Information.
  • The employee signs documents confirming familiarization with the list of restricted information and undertakes to comply with the relevant requirements.

Required experience and qualifications:
  • Higher education (bachelor's degree or higher) in finance, accounting, economics or similar specialty;
  • Work experience from 2-3 years in finance, accounting, administrative work, advantage of working in NGO;
  • English level - Intermediate;
  • Ability to work under tight deadlines;
  • Basic understanding of Ukrainian legislation;
  • PC skills (Microsoft office suite), advanced Excel skills;
  • Team player with strong interpersonal skills;
  • Self-organization skills, responsibility and attention to detail.
