People in Need  has been active in Ukraine since the beginning of August 2014. PIN is currently one of the main humanitarian actors in Ukraine responding to the recent military escalation by providing humanitarian assistance to conflict-affected people across Ukraine. Since 2014, PIN has implemented emergency food and cash assistance, NFI, housing, protection, livelihoods and measures in the WASH sector,  supporting 3 million vulnerable IDPs, returnees and host communities in urban and rural areas. After the escalation in February 2022, PIN expanded its operations from 2 regions to work in 23 of the 24 regions of Ukraine, increasing the number of partners, employees, offices and budgets.

Description of General Responsibilities:
Internal relations
Works closely with the logistics team, including the IT Coordinator, Logistics Coordinator and Head of Logistics and Procurement. It also provides technical support to all PIN Ukraine personnel on IT-related issues.

Foreign relations
Keeps in touch with suppliers regarding contracts and delivery of ordered goods and/or services.
Characteristic duties and responsibilities:

Client Devices and Servers:
  • Installs, reinstalls the operating system and approved and recommended software
  • Checks and installs all necessary and recommended software and security updates
  • Provides troubleshooting and maintenance of equipment:
  • Basic on-site repairs according to existing experience
  • carrying out cost-effective extended repairs and/or maintenance in workshops, checking the results
  • Connects client stations to network resources such as shared drives, VPNs, printers, etc.
  • Supports access to shared resources on the server, with a focus on data security
  • Configures and maintains robust malware protection
  • Provides server performance monitoring and reports any issues to the IT coordinator
  • Maintains servers according to approved schedules and procedures
  • Provides backing up of server data according to the agreed scope and schedule
  • Provides data encryption across all client stations and servers according to agreed procedures
Technical Support:
  • Provides standard troubleshooting with customers' hardware and software within the scope of existing expertise
  • Consults with the IT Coordinator to resolve serious technical support issues
  • Prioritizes technical support requests
Network, communication and peripherals:
  • Installs, configures, and maintains basic LAN and wireless networks with a focus on security
  • Carries out the development and modification of the local and wireless network together with the IT coordinator.
  • Designs, maintains, troubleshoots, and deploys communications facilities as required by the Mission, including telephones, Internet access, video surveillance systems, and other communications.
  • Performs installation, maintenance, and troubleshooting of peripherals
  • In cooperation with the logistics department, it provides offices, guest houses and warehouses with reliable IT infrastructure and Internet connection
Development and innovation:
  • Administers and updates the organization's internal resources, such as SharePoint and Spaces sites in Confluence, with new information.
  • Creates and implements new workflows in Power Automate to streamline and automate the activities of the IT department and other departments of the organization.
  • Works together with the IT coordinator on the implementation of innovations, providing the necessary support and assistance in their implementation.
  • The employee is obliged to comply with the requirements of the Policy regarding local personnel and the Internal Labor Regulations, to comply with the instructions on safety, fire safety, and other mandatory instructions and procedures related to his work.
  • The employer has the right to give the employee other tasks within the scope of his powers and specialization. In case of urgent work and production necessity
  • In case of a large number of different tasks to be performed by the Employee at the same time, the Employee must perform the most urgent and important tasks in the first place.
Required experience and qualifications:
  • Master's degree in IT/Computer Science; additional courses and certificates in professional IT training (Microsoft Learning courses, courses in network technologies, etc.) are preferred.
  • Minimum of 3 years of relevant experience in the field of IT (system administration, helpdesk, etc.).
  • English level Intermediate.
  • Thorough understanding of computer networks and the basics of system functioning (IP addressing, basic LAN/WAN, DNS, DHCP concepts, Wi-Fi configuration and troubleshooting).
  • Knowledge of Microsoft 365 services, including Microsoft Teams, Outlook, and OneDrive.
  • Confident proficiency in Windows operating systems; Skills in installing software, configuring printers and managing basic user parameters.
  • Basic skills in diagnosing and troubleshooting hardware (laptops, peripherals) and software (MS Office, browsers, communication tools).
  • Experience in performing basic server administration tasks (e.g., monitoring server status, restarting services, checking logs).
  • Experience with Jira and Confluence.
Desired skills:
  • Knowledge of Power Automate to create and automate simple workflows.
  • Experience with SharePoint Online (site creation and maintenance, access and structure management).
  • Basic understanding of Power BI (creating new reports and updating data sources).
